2024 Online Proxy Voting

Updated: Mar 27

Close up of section on 2024 proxy with headline reading "2024 Proxy News"

In late February, Mutual Assurance President Jeff Wrobel, Sr, sent this message out to all of our members with a valid email address in our records asking them to vote online to help offset the costs associated with printing and mailing a ballot.

There are still many members who do not have an email on file with us and will receive a paper ballot, but we estimate the Society will save over $10,000 if the majority vote electronically.

Dear Valued Member,

The 2024 Proxy is about to open. As a mutual, our members are company owners and therefore elect board members. I am writing to advise you that voting will be online this year to help the Society minimize the expenses associated with mailing ballots.

Beginning March 6th, our voting service, Intelliscan Inc., will email you with instructions for logging into their site and casting your votes. Please be sure to check your SPAM folder if you do not see this email in your inbox.

Online voting takes less than 3 minutes to complete and is the easiest and safest way to ensure your vote is counted.

If you prefer a paper ballot, please email us at [email protected], and we will add you to the mailing list for ballots that will go out on April 1st. Paper ballot requests need to be received by March 29th.

The Annual Report will also be available online by visiting www.mutual-assurance.com/amr beginning March 12th. It is password-protected for members. That password is 1794AMR.

Thank you for your support,

President

Please note that even if you prefer to receive a paper ballot, you can still save money for the Society by voting online using the instructions included in your packet. Of course, you can opt to return the ballot using the prepaid envelope provided.

Here are some points worth noting for however you opt to vote:

Online

If you do not see an email from [email protected] in your inbox by March 18th, please check your spam folder.

If you have signed up for paperless communications with us, you will not receive a paper ballot in the mail, so make sure you look for the email if you wish to vote.

By Mail

If you receive your Society correspondence by mail or have not voted online by March 17th, look for the proxy in your mailbox the first week of April. It will have a return address with Mutual listed and Intelliscan's Pennsylvania return address.

You may vote online with the ID number listed above your name in the address box. The website address is on the proxy. If you prefer, you can mail the ballot back in the postage-paid envelope provided.

If mailing your proxy, please do not include anything else in the envelope, such as payment or correspondence, as it will not be coming to our offices in Richmond.
